Abstract

Student advising at colleges and universities is an important, challenging and time-consuming task. Traditional method of getting an appointment with advisors has always been a challenge not only to students but also to the advisors. In this project, we present a technology-driven web-based application (UTA-Advising) for scheduling appointment with academic advisors. “UTA-Advising”, not only helps students to setup appointments online but also notifies students about their upcoming appointments (cancelled if any) via emails. The application is targeted for use not only by current students but also by incoming future students who can schedule, cancel or re-schedule appointment with their advisors efficiently.

Background

A few years before, UTA was a university with few numbers of students. However, nowadays, the number of students has increased. There was no problem faced by students during advising appointments before due to fewer students. If there is a large number of students, it is difficult for the university to manage to advise students. They will also face problems during the advising time. This project is the result of the ongoing problem faced by thousands of students at the University of Texas at Arlington. Although being a top tier University in the region, UTA is still practicing the traditional method of advising. The student must physically present in the advisor’s office to make an appointment. They must remain in the line if there is a group of other students waiting in the line which does not help either advising the person

In this busy world, where the value of time is very high, waiting on the line without knowing if they can be advised on that day or not is very frustrating. The advisors are not able to update the student’s background ahead of the appointment. It would have been so easy for advisors if they could go through the student’s background information before advising. So, these problems have allowed us to work to make a web or physical app that can make an appointment with advisors online.
For this project, we consider UTA as a customer for whom we are going to deliver our final product. They want to work with us because of the capabilities they have seen on us for two years study period at UTA. They believe we are the right candidate for delivering this project. The current relationship between our customers and our development team is that of student-school relations. The point of contact between the University and our development team is Dr. Shawn Geiser.

Project Requirements

  • UTA_Advising shall be deployed as a web application.
  • UTA_Advising shall have manual for students, and advisors which will guide them to access the different functionality of the website.
  • UTA_Advising shall allow students to register to the website by inserting their name, password, contact preference, major, student type, and email.
  • UTA_Advising shall allow an advisor to see who’s in the queue for advising.
  • UTA_Advising shall allow an advisor to clear student from the queue.
  • UTA_Advising shall allow an advisor to update who the advisor their contact information, and academic documents.
  • UTA_Advising shall allow students to select major, and year.
  • UTA_Advising shall allow students to put in what classes are taken and show a list of classes still needed.
  • UTA_Advising shall allow students to update who they are, contact preference, major, and student type.
  • UTA_Advising shall allow students to select advisor from a given list of available advisors.
  • UTA_Advising shall send a reminder email to the student when their time of advising is nearer.
  • UTA_Advising shall allow students to cancel their appointment.

 

System Overview

This is a world where technology is proliferating to solve human effort to accomplish a task quickly. Every year students face problems during their advising before the semester ends. The high volume of students come for their advising and wait hours outside the advisor office for their turn. This long waiting situation is one of the issues that are challenging the Computer Science and Engineering Department (CSE) of The University of Texas at Arlington. UTA _Advising application is built , which has many features like setting up an appointment with a specific advisor or general advising. Students can electronically check in the queue so that they do not have to wait outside of the advisor door.
